This policy explains how XTREME STATION LTD collects and uses personal data when you visit this website, send us an enquiry, book a call, or receive a business email from us. We are committed to handling your data lawfully and transparently under the UK GDPR, the Data Protection Act 2018, and PECR.

2. The data we collect
Information you give us
When you complete the website audit form, book a call, or email us, we collect the details you provide — typically your name, email address, phone number (optional), practice or business name, website URL, and the contents of your message. The audit form also includes a simple anti-spam check; we do not store its answer.
Information we collect automatically
Our hosting provider keeps standard server logs (such as IP address, browser type, and pages requested) for security and to keep the service running. We do not use advertising cookies or third-party tracking on this site. This website does not set its own cookies.
Business contact information (outreach)
For business-to-business marketing, we may collect publicly available business contact details (for example a practice's listed business email, phone, and website) from public sources such as business directories and company websites, in order to introduce our services to relevant organisations.
3. How we use your data & our lawful basis
| Respond to your enquiry & deliver your free audit | Steps taken at your request to enter into a contract; and our legitimate interests in answering you |
| Arrange and hold calls you book | Steps taken at your request / legitimate interests |
| Send B2B introductory emails to relevant businesses | Our legitimate interests in marketing our services to relevant organisations (you can opt out at any time — see below) |
| Keep the website secure and working | Legitimate interests in the security and integrity of our service |
| Meet legal and accounting obligations | Compliance with a legal obligation |
We do not sell your personal data, and we do not use it for automated decision-making that produces legal or similarly significant effects.
4. Marketing emails & your right to opt out
Where we send introductory business emails, every message identifies us clearly and includes a simple way to opt out / unsubscribe. If you tell us you don't want to hear from us, we will stop and suppress your address from future sends. You can also opt out at any time by emailing [email protected].
5. Who we share data with
We use a small number of trusted service providers ("processors") who act on our instructions. We share only what's needed for each to do its job:
- Hostinger — website and email hosting.
- Formspree — receives and forwards submissions from the audit form.
- Calendly — lets you book an introductory call.
- Smartlead — helps us manage and send business emails.
We may also disclose data where required by law, or to protect our rights, property, or safety.
6. International transfers
Some of our providers are based outside the UK (for example in the United States). Where personal data is transferred internationally, we rely on appropriate safeguards recognised under UK data protection law — such as UK adequacy regulations or the UK International Data Transfer Agreement / Addendum to the EU Standard Contractual Clauses.
7. How long we keep it
We keep enquiry and call data for as long as needed to respond and to manage any resulting relationship, and for a reasonable period afterwards in line with our legal and accounting obligations. Business contact data used for outreach is kept until you opt out or it is no longer relevant, after which it is deleted or suppressed.
8. Your rights
Under UK data protection law you have the right to:
- Access the personal data we hold about you.
- Rectify data that is inaccurate or incomplete.
- Erase your data ("right to be forgotten").
- Restrict or object to our processing, including objecting to direct marketing.
- Data portability for data you provided to us.
- Withdraw consent at any time, where we rely on it.
To exercise any of these, email [email protected]. We will respond within the time limits set by law (normally within one month).
9. Complaints
We hope to resolve any concern directly, but you have the right to complain to the UK supervisory authority, the Information Commissioner's Office (ICO), at ico.org.uk/make-a-complaint or by calling their helpline.
10. Changes to this policy
We may update this policy from time to time. The "last updated" date at the top shows when it was last revised. Material changes will be reflected here.
